Responsibilities

Receive purchasing requests (PRs) and contact suppliers to provide the requested department with the required materials within the specified delivery date and according to procurement department SOPs.

Search for and contact suppliers, negotiate prices, terms, conditions, and delivery dates for technically approved items to obtain the best offer based on required specifications and lower prices to minimize costs.

Issue purchase orders (POs) and PRs for approved offers, ensuring they comply with all SOPs, obtaining signatures, and reporting to the senior manager for final approval to ensure payment to the supplier through the finance department.

Follow up with vendors on delivery and work execution based on technical acceptance to ensure the received items match the PO and PR.

Search for the best shipping offers based on delivery time, price, and delivery method to ensure goods arrive at the plant within the required time and at the most convenient price.

Liaise with clearance specialists and provide them with all necessary shipping documents to ensure delivery of goods at the plant within the required time and without any additional customs fees.

Record all foreign procurement cycle items (dates, prices, terms and conditions, figures, and descriptions) on systems for sharing with the requesting department and finance department, and update the company database.

Monitor daily purchasing operations to ensure work processes are implemented as designed and comply with established policies, processes, and procedures.

Contribute to a safe work environment, manage risks, and reduce exposure to liability.

Support line management in managing HSE incidents, corrective/preventive actions.

Educational requirements

  • Bachelor’s degree in Supply Chain Management, Procurement, Business Administration, International Trade, or a related field.

Experience requirements

  • 2-3 years of experience in an international procurement field.

Additional requirements

East African customs experience in clearing and freight forwarding (certificate is an added advantage).

Excellent communication, presentation, and influencing skills for key stakeholders at all organizational levels, including executive and C-level.

Strong verbal and written communication skills.

Excellent listening and negotiating abilities.

Strong organizational skills.

Proficiency in Microsoft Office suite.

Business fluency in English.

Strong analytical ability to adapt to different client needs and develop and maintain successful working relationships.

Knowledge of ERP systems.

Numerical acumen and ability to work with large data volumes.

Negotiation skills.

Stakeholder management skills.
